Welcome Speech for School and College Functions (Format and Samples)

Speeches for events 10 essays, speeches and lines Updated 10 Oct 2026

A welcome speech is the first thing the audience hears at any function, so it sets the mood for everything that follows. This page explains the welcome speech format, the right order for greeting guests, and gives ready samples for the annual function, a chief guest, Independence Day, Teachers' Day, sports day, a farewell party, freshers, a seminar, and a swagat bhashan in Hindi.

Choose the sample closest to your event, change the names and details, and practise it aloud two or three times. A good welcome address is short, warm and clear, and it ends by handing the stage to the next part of the programme.

Welcome Speech Format: What to Say and in Which Order

All classes

A welcome speech, also called a welcome address, is a short speech given at the start of a function to greet the guests and the audience and to tell everyone why they have gathered. Usually the principal, a senior teacher, a school captain or a student picked for the day delivers it. In a college, the head of the department or a student coordinator often gives it.

Order of greeting guests

Always greet the most important person first. The usual order is:

  1. The chief guest
  2. The guest of honour or special guests
  3. The chairperson, president or manager of the school or college
  4. The principal and vice principal
  5. Teachers and staff members
  6. Parents and visitors
  7. Students and friends

If you are not sure of a guest's title, ask your teacher beforehand. Say every name slowly and correctly, because a wrongly spoken name is the one mistake people remember.

Structure of a welcome speech

  • Greeting: a respectful line for everyone present, in the order above.
  • The occasion: one or two lines on why we are here today.
  • Welcoming the guests: a line for each special guest, with something true and kind about their work.
  • A glimpse of the programme: what the audience will see, such as dances, prize distribution or a lecture.
  • Closing: a final welcome to all and an invitation to the next item, for example the lamp lighting.

How long should it be?

A short welcome speech for a class event can be 100 to 150 words, about one minute. For an annual function or a seminar, 200 to 300 words, two to three minutes, is enough. The welcome address is not the main event, so never let it run longer than five minutes.

Dos and don'ts

  • Do smile, look at the guests when you name them, and speak a little slower than normal.
  • Do write the guest names on a small card in case you forget.
  • Don't tell long stories, crack jokes about anyone, or thank people in detail. Thanking everyone is the job of the vote of thanks speech at the end.
  • Don't read every word from paper. Learn the opening and closing lines by heart.

If you are also hosting the whole programme, see our anchoring script page. For general tips on writing any speech, read speech writing.

Welcome Speech for Annual Function (Annual Day)

Classes 9 to 12273 wordsabout 2 min to speak

Good evening to our honourable chief guest, our respected guest of honour, our Chairperson, our Principal, dear teachers, proud parents and my dear friends.

I am [name], head girl of [school name], and it is my privilege to welcome you all to our Annual Day. Tonight our school puts on its best clothes. The stage has been decorated by our art club, the costumes have been stitched and pinned many times, and some of the youngest performers have been practising their steps since the monsoon.

First of all, I welcome our chief guest, [name], who has given many years to the field of education. We are thankful that you found time in your busy schedule to be with us. Your presence makes this evening special and gives our students a reason to dream bigger.

I also welcome our guest of honour, [name], whose work in our city has inspired many young people. Sir, we hope you enjoy every item that our children have prepared.

A warm welcome to our Chairperson and our Principal, who guide our school through every season, and to our teachers, who have spent long evenings after school on rehearsals.

Dear parents, this evening belongs to you as much as to us. Every clap you give tonight will stay in a child's memory for years.

In the next two hours you will see folk dances from different states, a short play, the school band and the prize distribution for the year's achievers.

Once again, a very warm welcome to everyone. I now request our chief guest and guests of honour to come forward for the lamp lighting ceremony. Thank you.

Welcome Speech for Chief Guest in English

Classes 8 to 12192 wordsabout 1 min to speak

Respected chief guest [name], our Principal, teachers and dear friends, good morning.

It gives me great happiness to stand here and welcome a very special person to our campus. Our chief guest today is [name], a doctor who has run free health camps in villages around our district for many years. Many of us have heard about the eye camps where elderly people got their sight checked for the first time in their lives.

Madam, when our Principal told us that you had accepted our invitation, the whole school was excited. Students who want to become doctors, nurses and scientists have been waiting all week to hear you speak.

Our school believes that children learn the most from people who serve others quietly. That is why your visit means so much to us. We hope that today you will share some stories from your work and some advice for young people who are still choosing their path.

On behalf of the Principal, staff and every student of [school name], I welcome you with folded hands and a happy heart. Please accept this small plant as a token of our respect. Thank you.

Good morning to our respected chief guest, our Principal, teachers and my dear friends.

Today the whole school is dressed in white, saffron and green. Paper flags hang across the corridors and the band is ready near the flagpole. We have gathered to celebrate Independence Day, the day in 1947 when India became free.

I warmly welcome our chief guest, [name], who has kindly agreed to hoist our national flag this morning. Sir, thank you for being with us.

I also welcome our Principal and all our teachers, who have trained us for the patriotic songs, the march past and a short play about our freedom fighters.

Friends, let us stand straight when the flag goes up and sing the national anthem with full feeling. Let us also remember the brave men and women whose sacrifice gave us this free morning.

With these words, I welcome everyone once again and request our chief guest to hoist the flag. Thank you. Jai Hind.

Welcome Speech for Teachers' Day by a Student

Classes 6 to 10166 wordsabout 1 min to speak

Good morning to our respected Principal, our dear teachers and my fellow students.

Every other day of the year our teachers welcome us into the classroom. Today it is our turn to welcome them. On behalf of all the students, I extend a very warm welcome to every teacher present in this hall.

The date, 5 September, marks the birth anniversary of Dr Sarvepalli Radhakrishnan, the scholar and teacher who served as India's second President. We feel it is the perfect day to show our teachers how much they mean to us.

Dear teachers, you have corrected our notebooks late at night, explained the same sum five times without losing patience, and cheered for us on the sports field. Today, please sit back and relax. The students of class 10 have planned songs, a funny skit and a few games just for you.

Once again, welcome to this celebration that we have made with love. I now invite our Principal to cut the cake. Thank you.

Welcome Speech for Sports Day by a Teacher

Teachers206 wordsabout 2 min to speak

Good morning to our chief guest [name], our Principal, parents, colleagues and all my enthusiastic young athletes.

As the sports teacher of [school name], I am delighted to welcome you all to our Annual Sports Day. The ground has been marked with fresh white lines, the house flags are flying, and I can already hear the red, blue, green and yellow houses practising their cheers.

Our chief guest has been a state level athlete and now coaches young runners in our city. Sir, it is an honour to have you here to declare the meet open.

I welcome the parents who have come early to find a good seat. Your cheering will push our children to run a little faster today.

Children, remember that sports day is not only about medals. It is about practice, team spirit, playing fair and shaking hands after the race, whether you win or lose. Drink water between events and listen to your house captains.

Today we have track races, relay, long jump, sack race for the little ones and a march past by all four houses.

Once again, a hearty welcome to all. I request our chief guest to release the balloons and declare the sports meet open. Thank you.

Welcome Speech for Farewell Party

Classes 11 and 12183 wordsabout 1 min to speak

Good afternoon to our respected Principal, our dear teachers, our wonderful seniors of class 12 and my friends from class 11.

On behalf of class 11, I welcome you all to this farewell party, which we have planned with a lot of excitement and a little sadness. Look around this hall: the balloons, the photo wall and the old pictures on the board are all for you, dear seniors.

We welcome our teachers, who have watched this batch grow from small children in shorts into confident young adults. Your presence today will make our seniors feel loved.

Dear seniors, you showed us the way in every school event. You helped us find our classrooms on the first day, led the house teams, and taught us how to handle exam pressure. Today we want to give you an evening full of laughter, music and memories before you step into the bigger world.

We have prepared a few performances, some fun titles for each of you, and of course a good dinner.

So, dear seniors, welcome to your evening. Let the party begin. Thank you.

Welcome Speech for Freshers Party in College

College234 wordsabout 2 min to speak

Good evening to our respected Head of Department, our professors, my fellow seniors and, most of all, our new friends from the first year.

I am [name] from the third year, and I have the happy job of welcoming you to the freshers' party. Two years ago, I sat exactly where you are sitting now, holding a new identity card and wondering if I would ever find the right lecture hall.

Dear freshers, welcome to [college name]. You have left behind school uniforms, fixed timetables and maybe even your home town. Here you will find long practicals, crowded canteens, library deadlines and friendships that last a lifetime.

We also welcome our professors, who have taken time out of their evening to be with us. Your guidance turns nervous first years into confident graduates.

Tonight there are no exams and no attendance registers. We have planned music, a talent round where any fresher can come on stage, and some fun games to break the ice. Do not be shy. Every senior here was once a nervous first year too.

Remember one thing as you begin: this college will give back as much as you put in. Join a club, ask questions in class, and help the person sitting next to you.

Once again, a very warm welcome to all the freshers. I now invite our Head of Department to say a few words. Thank you.

Welcome Address Speech for a Seminar or College Function

College and Teachers246 wordsabout 2 min to speak

Respected resource person [name], our Principal [name], members of the faculty, research scholars and dear students, a very good morning to all of you.

On behalf of the Department of [subject], I have the honour of delivering the welcome address for today's seminar on [topic]. This seminar has been organised to bring students closer to the people who are actually working in the field, beyond the pages of our textbooks.

Our resource person today has spent many years in teaching and research. Students who have attended sir's lectures before speak about the simple way in which he explains even the most difficult ideas. Sir, we are grateful that you travelled all the way to our campus, and we extend a heartfelt welcome to you.

I welcome our Principal, whose support made this seminar possible, and the faculty members from other departments who have joined us today.

Dear students, a seminar is useful only when we listen carefully and ask good questions. Please keep your notebooks open, note down at least one question, and use the discussion time at the end.

The programme will begin with the keynote lecture, followed by a short tea break, two paper presentations by our students and an open discussion.

Once again, I extend a warm welcome to our resource person, our guests and all the participants, and I hope today's discussions spark fresh ideas in all of us. I now request our resource person to begin the keynote address. Thank you.

Tips for a Good Welcome Speech

  • Write the guest list in order of importance on a small card and keep it in your hand, so you never miss or swap a name.
  • Open with one line that paints the scene, like a decorated stage or a ground marked with white lines, instead of a dull definition.
  • Say one true, specific thing about each special guest. Ask the organisers for a short note on their work.
  • Keep a short welcome speech for an event to about one minute and a welcome address for a big function under three minutes.
  • Speak slowly, pause after each name, and look at the person you are welcoming.
  • Leave detailed thanks for the vote of thanks. The welcome speech only greets and introduces.
  • End with a clear handover, such as inviting the chief guest for the lamp lighting or the flag hoisting.

Questions students ask

How do you start a welcome speech?

Start by greeting the chief guest, then the other guests, the principal, teachers, parents and students, in that order. After the greeting, say the name of the occasion in one or two lines, for example "It is my privilege to welcome you all to our Annual Day."

Who should be welcomed first in a welcome speech?

The chief guest is always welcomed first, followed by the guest of honour, the chairperson or management, the principal, teachers, parents and students. If the event has a president or chairperson for the day, greet them right after the chief guest.

How long should a welcome speech be?

A short welcome speech for a class event can be about 100 to 150 words. For an annual function, a seminar or a big programme, 200 to 300 words is enough. It should rarely go beyond three minutes.

Is a welcome speech the same as a vote of thanks?

No. The welcome speech opens the programme by greeting guests and telling the audience about the occasion. The vote of thanks closes the programme, when the speaker expresses gratitude to the guests, organisers and helpers. Both should be short and polite.

Can I use these samples for Republic Day or Children's Day?

Yes. Take the Independence Day or annual function sample, change the occasion, the decorations and the programme items, and add a line about the meaning of the day. For Children's Day, a teacher can welcome the students as the special guests of the day.
